Q: I have a prospect that creates very long Purchase Orders (PO) and wants to be able to receive the PO items using a wireless scanner. It seems do-able but I would like to be sure I'm not missing something. Thanks.

A: Provided that the items have UPC's and the UPC's are entered into QuickBooks Point of Sale (POS), you can use your scanner to add them to the receiving voucher. A perfect example is a shoe store. All of the boxes come with a UPC, so you simply open the box and scan the item.

Q & A with Will English regarding web sales and the inventory at HQ.

Q: I have POS 8 multi store, HQ and a remote store. HQ is the real store and the remote is a PC taken out for outside events. The inventory is at HQ. Is there a way to update the inventory with the sales from the remote with just a store exchange? We might start using the remote for web sales so we also want the sales to reflect the inventory at HQ.

A: Not really. The sales will drive the inventory quantities negative and you will to do a transfer slip to transfer the inventory. Keep in mind there is no receiving with transfers, it assumes the transfer is magic.

Topic: Receiving an Unsettled Transactions Warning When Closing QB POS

Q: I have a client that is getting a warning that he has unsettled credit cards (CC) transactions when closing his program, but when he runs his End-of-Day the program tells him there are no CC to process. Any ideas?

A: You have an incomplete closed batch. Have them call Intuit Merchant Service support and then they can manually force the batch to close. There are a number of steps and it requires the entry of a merchant service password that changes daily, but it is pretty straight forward. This can happen when you restore a backup over a file that has not been batched properly. I always batch before doing any file operations.
 

Our QuickBooks Point of Sale (QBPOS) Fundamentals Seminar & Webinar was a success this past Tuesday. The small class size setting allows our attendees to participate, get their questions answered and issues addressed. Our guests learned additional things from the questions asked by others. The feedback we received is that it was very warm and inviting and they felt like a part of our team. We served a freshly made continental breakfast and lunch from a local deli.Our webinar guests were just as much a part of the class as they were also able to ask questions and give feedback.

Thank you to everyone who attended. Some of the attendees have been using the software but wanted a refresher course with the basic functions. Other guests were brand new to QuickBooks.

Q: Will QuickBooks Point of Sale (QBPOS) let you classify your sales like QuickBooks financial using classes? We have 3 different classes – landscaping, nursery & lawn maintenance.

A: In QuickBooks POS, you use departments instead of classes. That being said, departments are not transferred over to QuickBooks Financial.  If you are using version 10, multi-store is built into the system.  Using the Multi-store feature allows you to assign a class to a specific store.  My guess, having worked with a number of companies in your industry, is that you are only using POS for the Nursery.  If so, then go to the File Menu, then Preferences, and then Company. Next, go to the Multi-store setting and check the box Use Classes with QuickBooks.  Then you can choose the Nursery class for your store.  Keep in mind that if you have an earlier version of POS, this will only work if you have the Multi-store version.

One of Will’s business associate’s presented the following inquiry.  His response is below.

Q: I had a potential client call that was using Point of Sale in one business and was opening a second business. She wanted to know if she could use her single license to run both businesses.
Has anyone been able to do this? The training material says you can only access "One company file at a time" but it doesn't cover using one license to access two different companies at the same time. Is this possible?

A: You can create two separate files and switch between them, although it can be a pain if you are running a second workstation license as you can't be in one company on the server and another on the client workstation. Also, transferring to QuickBooks Financial can be a pain. It is clearly a violation of the licensing agreement. There is a difference between what is technically possible and what is allowed. My expectation is that she may receive a letter from Intuit…

Q: I am just trying to clarify some things that aren't too clear to me when working with P.O.S. set up. It seems to me things would be a lot smoother if I could set everything up in the file before I arrive on site. Does Pro create a file that can be imported into Basic? Can I create a client’s customer file in my P.O.S. program, back it up, and then install it on their system? Can I create this file using Pro and install it in a client’s "basic" version?

Will's response: Yes we do create client’s files in our office although there is some configuration matter that gets copied across from files. Make the sure the base file is as simple as possible and still check. File structure is the same so Pro files will transfer but if you create style grids, they will not be available.
