QBES v15 R7 Release Notes for Enterprise

The QuickBooks team has introduced release 7 for QuickBooks Enterprise 2015.   This milestone release is their first to contain feature enhancements in addition to bug fixes.  It is a manual update from the Intuit support website. We suggest, however, that you wait another week or so to install it just to ensure no problems.

According to Intuit, here's what to expect:

  • Faster, Easier Subscription Feature Setup- We're making to easier to discover and activate features that are included with your Enterprise subscription. Subscription Feature Setup opens automatically when you open your company file. Or choose Help > Set up Subscription Features to open it anytime. To activate any feature in your subscription, just click Start.

When you open your QuickBooks Enterprise company file you will see a screen similar to the following. The feature list that you see will depend on your subscription.

2015 R6 Customer cannot edit custom defined fields after updating to r6.

  • Custom fields now could be edited when a company file is upgraded to 2015 R6 from a prior version.

Non-Inventory Items & Lot Numbers in QB Enterprise

As a global company offering affordable access to high-quality reproductive health products for women and girls, our client has many facets to their business. They use the QuickBooks Enterprise Solutions V2014 financial software to manage the business accounting. They recently wanted to issue a sales order to a customer for a non-inventory item but they couldn’t assign a lot number to it. They immediately reached out to Will for the solution.

Client: We have created the non-inventory item for one of our items but it will not allow her to assign a lot number to it.  Is there a way to add this?  Also, since this is a non-inventory item we need to also figure out how to issue a sales order to the customer for this product.  As there is no inventory to assign to the sales order, how do we do this?

Will: By default, non-inventory items can’t have lots.  I think you guys are thinking of it as non-inventory since you don’t receive it physically, but that is not how QuickBooks looks at it. If you use an inventory type item, it should solve the problem.

Client: Any suggestion going forward? As it stands now, entering the part as a non-inventory part, I cannot receive it in to issue an invoice to the customer.

Will: Why can’t we enter the item as inventory?  I know that you will never receive it but it is still a form of inventory, just not yours.

Client: I will have to receive the part. I need to receive it in so that I can issue an invoice to the customer.

Will: I meant physically. The problem is I can’t assign lot numbers to non-inventory parts, therefore, let’s make it inventory.

Client: Understood. This will have to be Accounting’s call.  The inventory should not sit in inventory for a long period of time. Maybe we can assign a different asset account to explain to the auditors.

IRS Tax Changes Notification for QB Customers

On Wed. of this week, QuickBooks customers who are on unsupported versions of the software received a critical notice from Intuit regarding a 1099 printing issue. They notified customers on QuickBooks Pro/Premier/Mac/ES 2007-2010 that there is a 1099 printing issue due to an IRS change; customers need to upgrade to QB 2014 if they want to continue to print 1099s and will get a 20% discount off the upgrade.

Here is an update regarding the critical notice that began going out to QuickBooks customers on Wednesday.  The communication prompted a few customer questions and we wanted to clarify the following information:   
• The IRS changes to the Tax Year 2013 1099-MISC tax form did not include adding any boxes.
• However, the IRS changes did include changing the format, size and/or position of a number of boxes.
• It is this reformatting of the boxes by the IRS that will cause the alignment issues when customers on unsupported versions of QuickBooks print their 1099-MISC forms.
• ONLY customers on QuickBooks 2010 or prior are impacted by these IRS changes and need to consider upgrading or handwriting the forms.
• Customers on QuickBooks 2011-2014 are NOT impacted by these IRS changes. They will be able to print their 1099s correctly from QuickBooks.

As previously mentioned, impacted customers have two options:
• OPTION 1: Complete the 1099-MISC forms by hand and submit them to the IRS. The IRS will accept handwritten forms. Customers can go to http://www.irs.gov/pub/irs-pdf/i1099gi.pdf, section G for IRS guidelines and details on filing by hand.

• OPTION 2: Upgrade to QuickBooks 2014. Upgrading to QuickBooks 2014 will help save customers time by allowing them to print 1099s directly from QuickBooks, with no alignment issues. Their QuickBooks data will print directly from QuickBooks 2014 onto the correct section of their 1099 forms.

QuickBooks & Support Services - Measuring Success

With numerous small businesses already in operation and so many more opening each day, it is a joy to speak with business owners to learn what inspires them and how they got their start. Today, I had the pleasure of speaking with a new client who is opening a tea and cake restaurant/tea room where patrons can enjoy delicious food and treats while sipping on a selection of fine teas. With an appreciation for the British traditions, she has listened to her community to implement a strategic business approach. She will offer the high tea and afternoon tea, keeping some of the formality but in a less formal environment. The setting will be more relaxed and casual with indoor seating and outdoor garden seating. In the mornings, grab-and-go items such as coffee and baked goods will be available. She is implementing the QuickBooks Point of Sale (QBPOS) system and we will provide our support services.
